RMIT English Worldwide, based in Melbourne, supports education needs nationally and internationally through English language and tailored training solutions. This case study walks through their journey with Intrinsiq — from first meeting to a lasting partnership.

Initial meeting

Intrinsiq and RMIT English Worldwide first met at English Australia’s Annual Conference in September 2015. After several follow-up calls to explore how the platform could be adapted to their needs, two Intrinsiq directors visited onsite in mid-April 2016 to finalise requirements and meet key personnel.

Key reasons for change

  • Lack of cloud access — the existing remotely hosted solution was only accessible on Windows PCs. Staff needed a true cloud product for flexible BYOD work, including tablets.
  • Attendance tracking — unusual lesson lengths and non-teaching days every five weeks made accurate attendance difficult. Intrinsiq delivered a bespoke attendance logging system that understands their timetabling and calculates attendance instantly.
  • Lack of a flexible API — teams were producing spreadsheets manually and retyping data. Intrinsiq provided a customer API to integrate with three external systems.
  • Academic reporting — reports were managed manually. Intrinsiq built a bespoke module to save teacher and administration time.

Intrinsiq’s knowledge of ELICOS and understanding of cloud platforms gave us confidence to consider them a viable solution. After completing a business case and supplier review, Intrinsiq were the clear leaders in the field.

Build process

With a hard launch deadline of 1 November, the build was designed around 10 deliverables. Each milestone included a System Guide for the new functionality. Strong planning and rapid client feedback meant the build finished in about 60% of the original estimate — enabling an earlier launch and extra UAT time.

Launch

Launch was timed during an intake period. After hours on Friday the existing provider’s database was sent to Intrinsiq; data was imported overnight and through Saturday. A senior developer stayed onsite Sunday through Tuesday for final checks and last-minute tweaks.

Post-launch

Since go-live, Intrinsiq has provided 24-hour support and ongoing amendments. The RMIT English Worldwide team can work more efficiently and respond to the changing ELICOS environment with greater confidence.

Intrinsiq have shown they can deliver a quality solution within tight timescales. Intrinsiq is easy to use and will grow with our business. My team continue to enjoy working with Intrinsiq who have shown since launch they are committed to a good long term relationship.
